JOB DESCRIPTION
In accordance with the objectives and principles determined by the senior management of Girne American University,
the Head of Department is responsible for planning, organizing, coordinating, and supervising all academic and administrative activities within the department to ensure that education and training are conducted effectively and efficiently, in line with the mission and vision of the School.
DUTIES AND RESPONSIBILITIES
The duties and responsibilities of Heads of Departments are defined in Article 21 of the Higher Education Law No. 2547 and within the Academic Regulations of Girne American University, as follows:
The Department is administered by the Head of Department.
The Head of Department designates a faculty member as deputy during periods of absence.
In case of an absence exceeding six months, a new Head of Department is appointed by the same procedure to complete the remaining term.
The Head of Department is responsible for ensuring that education, training, research, and all departmental activities are carried out in an organized, efficient, and productive manner.
Chairs and directs departmental board meetings and ensures that the decisions taken are implemented.
Reports the needs, requirements, and proposals of the department in writing to the School Directorate.
Ensures that communication and correspondence between the department and the School Directorate are carried out properly.
Ensures coordination among divisions, sub-departments, and academic programs within the department.
Ensures a balanced distribution of teaching assignments among faculty members.
Ensures that all educational and instructional activities are conducted regularly, smoothly, and on schedule.
Ensures the timely and accurate preparation of additional course and examination payment schedules.
Identifies and reports educational or academic issues and challenges to the School Directorate.
Oversees departmental evaluation, quality improvement, and accreditation processes, and submits related reports to the School Directorate.
Promotes effective communication and collaboration among academic staff to enhance the productivity of teaching and research.
Prepares and provides departmental information and reports for the School Academic General Assembly.
Ensures that student course registrations are completed accurately at the beginning of each term.
Follows up on the academic progress and educational needs of students within the department.
Ensures that student–faculty relationships are conducted in an orderly, respectful, and professional manner consistent with educational goals.
Holds regular meetings with academic advisors to ensure smooth implementation of registration and advising processes.
Ensures that the Undergraduate Education and Examination Regulations and related guidelines are properly implemented.
Ensures that all faculty members teach their assigned courses regularly and monitors performance.
Plans and manages the department’s participation in ERASMUS, FARABİ, and MEVLANA exchange programs.
Complies with the ethical principles of the university and participates in internal control and quality assurance activities.
Performs other duties assigned by the School Director related to departmental functions.
AUTHORITIES
Authorized to perform all duties and responsibilities listed above.
Authorized to use the necessary tools, equipment, and resources required to carry out departmental operations.
Authorized to represent Girne American University within the scope of assigned duties.
Holds signature authority within the limits defined by the university.
Authorized to assign tasks, provide guidance, supervise performance, correct errors, issue warnings when necessary, and request information or reports from subordinate staff.

QUALIFICATIONS REQUIRED FOR THE POSITION
Must meet the general qualifications specified in the Higher Education Law No. 2547 and the Civil Servants Law No. 657.
The Head of Department is appointed from among the professors of the department; if unavailable, from the associate professors, or if none, from the assistant professors, for a term of three years upon the recommendation of the School Director and the approval of the Rector. The term may be renewed.
Must possess adequate professional experience relevant to the position.
Must have proven leadership and administrative skills, including knowledge of academic coordination and institutional management.
Must have strong decision-making and problem-solving abilities necessary to effectively manage departmental activities.
ACCOUNTABILITY
The Head of Department is responsible for performing all duties in compliance with laws, regulations, and university policies, and is accountable to the School Director and Assistant Directors for all academic and administrative activities within the department.
